Where your money actually goes
A copier contract isn't one price. It's a machine, a finance agreement and a running cost, bundled so tightly that most people never see the seams. Here's what you're really paying for.
- Scanner & lid The part everyone touches — and the part that costs you the least.
- Control panel Where setup and “user training” fees get quietly bundled into the deal.
- Toner cartridge You don't buy toner — you buy every page it prints, at a rate set in your contract.
- Imaging drum Replaced on a page count and billed through your service charge, not as a one-off.
- Fuser unit Another consumable inside that same service charge. Worth asking what it covers.
- Chassis & side panels The machine itself — usually the smallest slice of what you actually pay each month.
- Trays, rollers & finisher Add-ons written into the lease. Easy to add, and hard to remove before it ends.

How do I know if I'm overpaying for my photocopier?
Add up your lease payment and your per-copy charges over a full year, then compare that total with what the same machine and volume would cost on a fresh contract today. Most businesses have never done this, because the two costs arrive on separate invoices and neither one looks alarming on its own.
Does checking my photocopier contract cost anything?

Can I leave my copier lease before it ends?
Usually not without a settlement figure covering the remaining payments. That's why timing matters: the best moment to retender is three to six months before your current term ends, while you still have leverage and no early-exit cost. If you're not sure when yours ends, it'll be on the finance agreement rather than the service one.
What's a fair cost per copy in the UK?
It depends on your machine, your volume and what the service element actually covers, so there's no single fair rate — and anyone who quotes you one without asking about your setup is guessing.
What matters more is whether your rate is fixed, what the annual uplift is capped at, and whether your minimum volume commitment matches what you really print. A low headline rate with a high minimum can cost more than a higher rate with none.
Do I have to change supplier?
No. Plenty of businesses use a competitive quote to renegotiate with the supplier they already have, and stay put on better terms. That's a perfectly good outcome and it costs you nothing.
